Dear Team Members,

More positive progress was made overnight and today in regards to bringing back our core operating systems. We are confident that by the end of the week we will be back online and gearing up for business as usual. While this situation has been a serious disruption for our team members and the business, we are confident we are through the worst of it.

 

As such, I would like to welcome those of you who are still on leave to return to work tomorrow. While you might not be able to perform your normal duties, we will direct you to assist other areas as required. For corporate and national staff in Altona, that may involve helping us run the manual PCV auction or assisting with data entry and the like. 

 

In other news, today we launched a temporary online sales solution and will be holding a number of Simulcast and BidNow Salvage auctions over the next few days. We will also be commencing a number of Industrial BidNow sales for our Agriculture and Civil segments late this week.

 

We also held successful Brisbane and Moorebank PCV in-lane only auctions today and almost 400 cars will be offered at Altona at another in-lane only auction. It is great to see our sales back up and running and I wanted to say thanks to the multiple teams who have come together to make all this happen, right across the business and at all of our sites.

 

Thanks for your patience and we are looking forward to having everyone back on board tomorrow and ramping up our sales efforts.

Our IT team and assembled technology experts worked 24/7 over the weekend and have made positive progress on our systems restoration. We are working towards a plan to be up and running later in the week and in the meantime the business is preparing for more physical sales this week and a number of digital sales.

 

In Australia, we will see in-lane only PCV auctions in Sydney, Brisbane, Melbourne and Perth as well as online sales open for Industrial, with both the Agricultural and Civil segments kicking off sales on a temporary digital channel. In New Zealand both Industrial and Salvage sales have been running through the regular TradeMe website channel and PCV auctions are in planning.

 

I am pleased to report the teams in Melbourne and Sydney held successful in-lane only Saturday auctions, conducting them using manual processes which required awesome team work to pull off. Combined we sold approximately 150 cars and proved the manual process works.

 

I know many of you will be concerned about the impact of this event on your annual leave balance. We will communicate to all team members in more detail once we have returned to normal business and please know that this will be a priority.

There is no doubt that once the systems are back, we have a massive job to do over the days and weeks ahead to clear stock and care for our customers. While we are hopeful that everyone can return to work on Monday and we can utilise our main systems, we are preparing for other eventualities. These include some ‘old-school’ manual PCV auctions on Saturday in Melbourne, Brisbane and Sydney and potentially some manual Salvage and Industrial auctions early to mid-next week. We also anticipate running some selected digital sales from Monday.

 

As such some staff will be contacted to return to work tomorrow or on Saturday, but unless you hear otherwise, you will not be required.

 

I also wanted to let those people who are on a weekly pay cycle, that pays are being processed and paid on time. We are using your last pay as a basis for the payment and will make any necessary adjustments once we have our payroll function back online.

Unfortunately, we are continuing to experience technical issues with our technology systems and networks, which we can now confirm is a cyber-incident related to a third party.

 

As a result, we still have restricted access to some of our computer systems and the information contained within. Since first becoming aware of this IT security incident, we have been working closely with external professional IT security advisors and our IT teams in the US to help facilitate a restoration of services as soon as possible. Due to security protocols we were not in an immediate position to disclose the nature of the issue with you or our customers.

 

As per our earlier note, we are making headway in restoring our systems and we believe they are all intact and we should be operational by the end of the week. However as our systems are still not fully available, we have taken the decision to reschedule any auctions and sales events which were planned to occur or open on Wednesday (February 19) and Thursday (February 20).

 

We currently have no evidence that any data has been compromised. Indications are that the third party only accessed our system to restrict access, but this is something that we will review closely as we investigate the incident.

 

We will provide a further update as soon as there is more information available. We will also provide an update tomorrow re work attendance on Thursday. As a result, we still have restricted access to some of our computer systems and the information contained within. Since first becoming aware of this IT security incident, we have been working closely with external professional IT security advisors and our IT teams in the US to help facilitate a restoration of services as soon as possible. Due to security protocols we were not in an immediate position to disclose the nature of the issue with you or our customers.

 

As per our earlier note, we are making headway in restoring our systems and we believe they are all intact and we should be operational by the end of the week. However as our systems are still not fully available, we have taken the decision to reschedule any auctions and sales events which were planned to occur or open on Wednesday (February 19) and Thursday (February 20).

 

We currently have no evidence that any data has been compromised. Indications are that the third party only accessed our system to restrict access, but this is something that we will review closely as we investigate the incident.

 

We will provide a further update as soon as there is more information available. We will also provide an update tomorrow re work attendance on Thursday. Our IT team have been working around the clock over the last few days to restore access to our systems, with the help and support of Cox Automotive US technology teams and specialised external consultants.
